Trade Fairs Worth the Trip: Canton Fair, CIIE and the Sector Shows

China Field Notes · by Daona · 13 min read

A Chinese trade fair compresses months of supplier search into a few days. It does not replace checking, sampling and contracting. Choose the fair by what you buy, register early, arrive with a shortlist, and treat every business card as the start of a verification process rather than the end of one.

Most foreign buyers' first serious contact with Chinese manufacturing happens in an exhibition hall: ten thousand booths and a supplier for almost anything within a ten-minute walk. It is efficient. It is also where many buyers collect fifty catalogues, place a trial order with the friendliest salesperson, and discover three months later that the "factory" was a trading company with a rented booth.

This issue covers which fairs are worth the trip, how the Canton Fair works, what the import-side fairs are for, the sector shows, and how to prepare, work the booth and follow up. Issue 03 (visas) and Issue 07 (checking a partner from public records) sit underneath it.

Buying finished goods for export? Start with the Canton Fair or your sector show. Selling into China? The import fairs are the natural stage. Mixing them up is the most common planning mistake.

2The Canton Fair

The China Import and Export Fair (中国进出口商品交易会), or Canton Fair (广交会), has run in Guangzhou since 1957: a spring session from mid-April to early May and an autumn session from mid-October to early November, at the complex in Pazhou. Each session has three five-day phases (三期), grouped by product.

140th sessionTypical categories
Phase 1
15–19 Oct 2026
Advanced manufacturing
Electronics and appliances, industrial automation, machinery, new materials and chemicals, new-energy vehicles, lighting, vehicle parts, hardware and tools
Phase 2
23–27 Oct 2026
Quality home
Building materials, furniture, home decoration, ceramics, gifts, kitchenware
Phase 3
31 Oct – 4 Nov 2026
Better life
Textiles and garments, shoes and bags, toys, personal care, health products, food

Category placement can shift between sessions; check the official plan. Official media reported more than 30,000 exhibitors and around 340,000 overseas buyers expected at the 140th session. Dates for the 141st (spring 2027) had not been announced when we wrote this; on past practice it opens in mid-April.

Registering as a buyer

· Pre-register online through the official buyer platform (linked from cantonfair.org.cn): passport photo, company details, buyer number. It is free.

· Collect the buyer badge (采购商证件) at a badge office, self-service machine or designated point in Guangzhou. Returning buyers can reuse their account and often their badge; check whether yours needs reactivation.

· On-site registration may carry a fee and means no advance invitation.

The invitation and your visa

The buyer account can issue an invitation letter (邀请函), the usual support for an M visa (商务签证). Many buyers no longer need one: nationals in the unilateral visa-free programme can visit for business for up to 30 days while it lasts, and 240-hour transit applies in some cases (Issue 03). Where you do need a visa, allow several weeks and book refundable travel.

Practicalities. Hotels reprice sharply in fair weeks — book early or stay along the metro. Set up Alipay or WeChat Pay before you fly (Issue 04). A technical interpreter beats a general one. Keep a spare day for factory visits in the Pearl River Delta.

3CIIE: the import side

The China International Import Expo (中国国际进口博览会, CIIE) is held every November at the National Exhibition and Convention Center (国家会展中心) in Shanghai; the 9th CIIE is scheduled for 5–10 November 2026. It exists for foreign companies selling into China: exhibitors are foreign, visitors are Chinese buyers, distributors, state-owned enterprises, e-commerce platforms and local delegations. Professional visitors register in advance on the official site. If you are sourcing from China, it is the wrong fair, though side events can be useful for meeting officials and investors.

4Other national fairs

· China International Fair for Trade in Services (中国国际服务贸易交易会, CIFTIS) — Beijing, each September; 9–13 September 2026 at Shougang Park. Finance, technology, healthcare, education, logistics.

· China International Consumer Products Expo (中国国际消费品博览会) — Haikou, usually April; 13–18 April 2026. Foreign consumer brands, with an eye on Hainan duty-free retail. Not a sourcing fair.

· Regional fairs — the China–ASEAN Expo (Nanning), China–Arab States Expo (Yinchuan), China–Eurasia Expo (Urumqi) and others: smaller, policy-oriented, region-specific. Check organisers' sites for dates.

5Sector shows

For industrial buyers, the specialist show often beats the Canton Fair: the people on the stand are engineers and product managers. Four large examples and their usual cycle:

ShowUsual city and cycle
Auto China 北京车展 / Auto Shanghai 上海车展April, alternating: Beijing in even years, Shanghai in odd years
bauma CHINA 宝马展Shanghai, every two years in November; 2026 edition scheduled for late November across two venues
CHINAPLAS 国际橡塑展Every April, alternating Shanghai and Shenzhen; 2027 announced for Shenzhen in mid-April
CIMT 中国国际机床展览会Beijing, every two years in April (odd years)

Almost every industry has an equivalent. Judge a show by last edition's exhibitor list, not the brochure. Yiwu's small-commodity market and permanent wholesale markets operate all year — good for small mixed orders, not a substitute for a factory relationship on large or technical ones.

6Before you go

· Define the brief: fixed specifications, target price, annual volume, certificates for your market, payment terms you can offer.

· Build a shortlist of 20–40 stands by phase and hall, with each company's Chinese name. Run the first Issue 07 checks before you fly: credit code, address, business scope, years in operation, enforcement records, maker or trader.

· Paperwork: entry route (Issue 03), buyer registration, payment apps (Issue 04), a one-page company introduction in English and Chinese.

7At the booth

· Ask for the Chinese company name and credit code. A booth sign is not enough.

· Ask where the factory is and whether you can visit. A trader is fine — if you know it is one.

· Ask to see certificates for your market (CE, UL, SASO, ECAS…), not logos on a brochure.

· Write MOQ, lead time and payment terms on the back of the card; photograph samples and booth numbers.

· Pay no deposits at the fair. No serious supplier needs money before a proforma invoice, a checked name and an agreed specification.

8After the fair

① Sort within 48 hours into A (follow up), B (keep), C (discard).

② Verify the A list with the full Issue 07 checks, including whether the entity that will sign and invoice is the one you met.

③ Request samples formally, agree who pays, and test against your market's standards.

④ Visit or inspect before any meaningful order.

⑤ Contract properly with the full Chinese entity name, specification, inspection rights, delivery and payment terms and a dispute clause (Issue 11). Pay a company account in the supplier's own name.

9An illustration: one buyer, one phase

A buyer of building hardware spends four days at Phase 2 of an autumn session.

Illustrative. Not market quotes.

Sixty conversations became two trial orders, and most of the filtering happened after the fair. A buyer who orders at the booth skips every step in the middle.

10Our view

Pick the fair by product, not by fame. The Canton Fair is the broadest; a sector show is often the deepest; CIIE is for selling into China.

Register early and keep it legal. Buyer registration is free; attending meetings at a fair is business, not work (Issue 03).

The fair is a filter, not a decision. Records, samples, inspection and contract come after.

Budget time for factory visits. One day in a factory tells you more than three in a hall.

Use help where it saves time. Daona works with buyers from the Gulf and Central Asia on supplier matching and verification. We are not a trading company, freight forwarder or law firm: we coordinate, introduce and check, and fees for inspection companies, laboratories, interpreters and other third parties are settled by the client directly at cost.

11Common misconceptions

"The biggest booth is the biggest factory." Booth size reflects marketing budget.

"Everyone at the Canton Fair is a manufacturer." Many are traders. Ask, and check the business scope.

"I need an invitation letter to enter China." Only if you need a visa. Many buyers now enter visa-free.

"CIIE is a bigger Canton Fair." It is the opposite: an import fair.

"The sample was good, so the order will be." Agree a quality standard and inspect production.

"A deal signed at the fair is safer." It is faster, not safer.
